Cancellations By Us
Our overall intention is to enable as many sessions as possible to go ahead. Customers who choose to be absent from a booked session for any reason and who fail to cancel their booking will forfeit their right to a credit or refund – unless we cancel the session.
We may cancel sessions for the following reasons:
Last Updated: 2 January 2026
Due to Adverse Weather Conditions
- Any decision we make to cancel a session due to heavy rain is based on the extent to which courts or pitches are affected, and in the case of younger players if the rain is likely to be a significant distraction or could result in a bad experience. Many sessions will still go ahead in the rain.
- If the weather forecast immediately prior to the session is poor, any decision by us to cancel will be made as late as it is reasonably possible. As we appreciate customers are travelling to the venue, we will endeavour to make a cancellation decision at least one hour prior to commencement.
- In extreme weather warning conditions issued by the Met Office, such as heavy snow, strong winds or very high temperatures – and at our senior management’s sole discretion – we reserve the right to cancel all bookings or remain open to the public.
- Customers will be sent an email and/or text message once a decision to cancel has been made.
Tennis and Padel Court Bookings
- From 2 January 2026, if we deem the courts unplayable, we will issue you automatically with a full refund back to your original payment method and we will cancel your booking – you need do nothing more.
Junior Camps (Jan-Dec 2025)
- If we deem a day of the Junior Camp needs to be cancelled, we will issue you with a full credit for the session affected due to adverse weather conditions only if the session is deemed not to have taken place.
- For clarity, if a session runs for 2 hours or more of the designated time, the session is considered to have taken place and no credit will be issued.
Social Tournaments and Festivals (Jan-Dec 2025)
- If we deem a tournament or festival should be cancelled, we will issue you with a full credit for the event if it is affected by adverse weather conditions – but only if the event is deemed not to have taken place (i.e. the tournament lasts for less than an hour or festival lasts for less than two hours).
- For tournaments or festivals that include a complimentary meal (e.g. a Christmas lunch), a partial credit will be issued, covering the cost of the meal, in the event of cancellation.
- For clarity, if a tournament runs for over one hour or a festival runs for over two hours of the designated time, the session is considered to have taken place, and no credit will be issued. In such circumstances, participants will still be entitled to any food and drink advertised as part of the activity package.
January 2026 Coaching
- From 2 January 2026, if we deem that we need to cancel a day of a coaching session including weekly drills (both mix and play and coach-led sessions) due to poor weather, we will issue you with a full refund only if the activity is deemed not to have taken place (i.e. the one hour session has lasted for less than 30 minutes from the scheduled start time).
- If the session continues for 30 minutes or more, then it will be deemed to have taken place and as such will be non-refundable.
If you are in any doubt about us cancelling your session due to poor weather, you should call the venue to check if play is deemed possible. Please do not call the venue more than one hour before the booking time.
Insufficient Participation Numbers – Group Coaching
- In the unlikely event of insufficient numbers, we reserve the right to cancel sessions with a minimum 2 days’ (48 hours) notice in advance.
- Customers will be offered the choice of a full refund or, where possible, will be offered the choice of attending the same or similar activity at an alternative time or nearby venue. Customer’s will be informed via email, a call or text message.
Sports Programme and Event Requirements
- If courts or pitches are required for our sports coaching programme or for an event, we reserve the right to cancel individual court or pitch bookings and will provide a minimum of 2 days’ (48 hours) advance notice.
- In this circumstance you will have the choice of either a full refund or the sports centre will book a court on your behalf for an alternative date and time of your choosing within the next 21 days.
